General Questions:

  • We can accommodate a max of 200 people.

  • We require a $500 deposit and a signed contract to reserve your date!

  • When the contract is signed, to continue holding the date, we require a $500 booking fee to be paid. Then we take the remainder of your total and break it into monthly installments. The final installment will be required 30 days prior to the event.

  • Yes! Just book a time on the tour calendar and reach out letting us know that it will be via Facetime instead of in person.

  • No, Most rehearsals happen off-site the night before, or on-site, the day-of (can be with or without the couple seeing each other) If you decide on a day-of rehearsal, we would recommend having everyone meet at Still Meadows first thing in the morning or doing a separate one for when the groomsmen arrive.

  • We only host one event per day.

  • To reserve a date email us at hello@stillmeadowsevents.com saying you are ready to book XYZ date if it is still available. We ask that you include:

    -Your date -include a backup date in case your preferred date is unavailable

    -Fiance name and email

    -Package/rental/add on

    -If you are ok with the monthly payments or would like a different installment plan

    Dates are reserved on a first requested basis. Whomever has requested to start the contract process from us by email first for a specific date will be first in line.

  • Grand Casino Resort is about 20 minutes from the venue. Average rate for a night is $120 but be sure to ask about Room Blocks for a group rate.

    There is word of another hotel being built that will be about 10-15 minutes away. It is set to be completed in 2024/2025.

  • In general, we believe the average budget of a couple getting married at Still Meadows is between $15,000-$20,000 for all wedding expenses (venue, food, dress, DJ, photographer, etc.). We have had some creative couples with smaller guests lists host beautiful weddings in the $10,000 - $15,000 range, and we have had several lovely events here spending significantly more than the average.

  • Still Meadows will NOT operate on the holidays listed below:

    --Easter

    -Independence Day

    -Labor Day

    -Memorial Day

    -Thanksgiving Day

    -Christmas Eve & Christmas Day

    -New Years Eve & New Years Day

  • Unfortunately, these services are not a available in Macomb, Ok. Please arrange transportation for your guests or let them know to organize another method of travel. If you would like any vendor recommendations for shuttle services, please see our preferred vendor list.

  • The typical rental time frame is from 10A.M. to midnight, however you can rent the venue for an additional $300 per hour up to 2 hours in the morning but we do not go past midnight

Vendor/package Questions

  • Yes, we require a licensed and insured bartender. Bartender is the one vendor that has to come off our preferred vendor list.

  • Yes, we require security for ALL events. It is included in your venue rental so no need to worry about finding one. Just know we will have someone there from ceremony time to the end of the evening.

  • Yes, but we don't recommend using more than one as they surge a lot of power and tend to pop breakers.

  • Caterer must provide one staff member per every 50 guests.

    Caterer is responsible for displaying, refilling, keeping warm and cleaning up catering tables and kitchen.

    Caterer is responsible for bussing and refilling drinks and/or drink stations (non-alcoholic).

    Caterer is responsible for cutting and serving cake if no coordinator is present.

    If the above cannot be fulfilled by the caterer, then the Client will be responsible.

  • Alcohol must stop serving 30 minutes prior to send-off. Ex: If your send-off is at 11:00pm we will stop serving alcohol at 10:30pm.

  • Yes, for the flowers you will have a seperate meeting with the florist to talk about your colors, likes and dislikes.

    Cake, we have examples for you to choose from where you get to pick icing design and flower placement.

  • The package was created based on the needs we have seen and to fit different budgets allowing other vendors like photography and catering to be booked by you. Yes, some things can be subbed and some things removed. Just ask us about what you’re thinking and we will let you know what we can and can't do.

  • No, that is why we offer the Venue Only option so you can do you own thing but still use our beautiful space.

  • No, the package prices do not change based on the day of the week or time of year because there is already a built in discount within the package!

  • We do not let guests leave their vehicles overnight and pick up the next day.



Planning Questions

  • We host an annual Open House in between the months of Jan-March. Stay tuned on our social channels for announcement and date.

  • A general rule we recommend is 2 hours before sunset. To find our what time sunset is, google "what time does the sun set on (date ex, Feb 1st 2025) in Oklahoma" *Keep in mind if you are after the time change your ceremony time will be much earlier.

  • Yes, candles are allowed as long as the flame is completely contained in a candle holder.

  • No vehicles can be left overnight. Please advise your guests of this policy. We appreciate your understanding.

  • Week of your wedding is when I need your final head count. Don't forget to include you, your fiancΓ© and wedding party!

  • Yes! All you need to bring is the sparklers, we have a bucket to put them in and a torch to light them. A Still Meadows staff member will oversee the lighting of sparklers.

  • 8'x8.5' and we recommend zip ties or fishing line depending on what you are hanging.

  • As far as what you can decorate not necessarily. There are restriction on how you decorate in that command hooks are acceptable but anything that can damage our walls/furniture can be subject to your security deposit being used.

  • Event must conclude by 11:00 p.m. to ensure that you, all of your items, and all of your vendors are off-property by midnight

  • Please refer to your Still Meadows Bride Guide for example floor plans.

  • All deliveries must happen during the standard rental period. Please advise your vendors of this policy.

  • Dogs are allowed onto the property as long as these rules are followed- 

    -Dog(s) must be on a leash at all times.

    -Dog(s) must be in a crate if left in the suites.

    -Dog(s) must be picked up after outside.

    -Please provide documentation that all vaccinations are up to date 30 days prior to event.

    -Someone other than the bride/groom will oversee the dog(s)

  • We do not have an ice machine. There is a Dollar General a mile away from the venue so we recommend you getting ice there.

    Our kitchen does have a commercial fridge, warmer, prep table, shelving unit and sink.

  • Yes, we have a designated area outside for your guests; however, we are a non-smoking facility inside, including e-cigs. Please make sure all guests are made aware of our designated area to the side of the venue by garage doors. We provide a smoking pole for your guests to extinguish their cigarettes.

  • Not always, we try to be there in the morning to greet the couple, turn on lights, AC etc, but might leave and come back for reception to make sure everything is running smoothly. Venue staff will depend on package purchased. If you have day of coordination through us then we are there and are much more involved.
